1. CONTRACT FOR EXHIBIT SPACE, PAYMENT & REFUNDS: Contract must be accompanied by payment of the total rental fee and must be received on or before June 23, 2008 to be listed in the program book. Contracts will not be processed nor space assigned without the required payment. The last day to receive a 100% refund for exhibit space will be May 5, 2008. After May 5, 2008 there will be no refunds for cancellation of exhibit space. 2. INCLUDED IN SPACE RENTAL CHARGE: The price of exhibit space includes the following:

TYPES OF DISPLAYS: NAIFA's Annual Career Conference and NAIFA EXPO is a closed show designed to provide a showcase for equipment, products, and services customarily used by insurance and financial advisors. NAIFA reserves the right, to be exercised in NAIFA’s sole and absolute discretion, to reject any application for exhibit space for any or no reason. Without limiting the general application of the foregoing sentence, a proposed NAIFA Annual Career Conference exhibit will be rejected and exhibitor agrees to immediately remove an exhibit, if in the sole opinion of NAIFA: the exhibit makes claims that are false, misleading, deceptive, defamatory, vague, extravagant, or exaggerated; the exhibit makes comparable claims not reasonably susceptible to verification, or that might mislead delegates; the exhibit would be unnecessarily redundant or duplicative of other previously accepted exhibits; the exhibitor has an outstanding past due account with NAIFA; the exhibit would be contrary to insurance or other relevant state or federal laws and regulations; the exhibit would offend NAIFA's Code of Ethics or other official, duly adopted policy of NAIFA. 4. OBSERVANCE OF RULES AND REGULATIONS: If any exhibitor fails to pay when due any sum required to be paid by the contract, or if any exhibitor shall fail to perform any other material term, or condition of the contract or refuse to observe or abide by these rules and regulations which are referred to in the contract and made part thereof, NAIFA reserves the right at any time whether prior to or during the Exposition to terminate the contract immediately and to withhold from exhibitor possession of the exhibit space specified in said contract. Any money heretofore paid by the exhibitor to NAIFA may be retained by NAIFA. Any exhibit space for which payment in full had not been received will not be made available to the exhibitor for the erection or construction of display. 5. LIABILITY: Exhibitor agrees to protect, save and hold The National Association of Insurance and Financial Advisors (NAIFA), Manchester Grand Hyatt and Brede Exposition Services forever harmless for any injury, loss, or damaget may occur to the exhibitor, the exhibitor's employees or property, or to any other person prior, during or subsequent to the period covered by the exhibit contract, provided said injury, loss or damage is not caused by the willful negligence or wrongful act or any employee of the Manchester Grand Hyatt, and Brede Exposition Services or NAIFA. Each exhibitor expressly releases the Manchester Grand Hyatt, Brede Exposition Services and NAIFA from such liability and agrees to indemnify the Manchester Grand Hyatt, Brede Exposition Services and NAIFA against any and all claims for such injury, loss or damage (including attorney fee). 6. COMPLIANCE WITH LICENSING, STATE AND LOCAL LAWS: Exhibitor hereby agrees to comply with all music licensing regulations and state and local laws including payment of all applicable fees and sales and use taxes, if any. It shall be solely the responsibility of exhibitor to obtain any necessary licenses and permits which may be required under applicable licensing, state and local laws and regulations. Exhibitor shall be presumed to know the applicable licensing, state and local laws and requirements there under and agrees to hold NAIFA from any liability whatsoever from exhibitor's failure to comply with said laws and regulations and payments therefore. 7. SECURITY AND INSURANCE: Watchmen will be furnished, but the furnishing of such watchmen shall not be deemed to increase the liability of NAIFA, its members, representatives, or official service contractors, employees, or the convention center, its representatives and employees, nor to modify in any way the assumption of risk and release provided for above. All property of the exhibitor is understood to remain under his custody and control, in transit to, within, or from the confines of the hall, subject to the rules and regulations of the Exposition. Exhibitors are advised to carry floater insurance to cover exhibit material against damage and loss and public liability insurance against injury to the person or property of others. It is recommended that exhibitors take precautionary measures of their own such as the security of small or easily portable articles of value. Watchmen will be available during hours when the Exhibit Hall is not open. 8. CHARACTER OF EXHIBITS: If moving pictures or loud speakers are used, the exhibitor agrees to comply with union requirement for the operation of the equipment. Sound presentations, live entertainment, slides or movies will be permitted if tuned to a conversational level and if not objectionable to neighboring exhibitors. NAIFA reserves the right to restrict the use of glaring lights or objectionable lighting effects. No exhibits will be permitted which interfere with the use of other exhibits or impede access to them or impede the free use of the aisle. Booth personnel, including demonstrators, receptionists, and models, are required to confine their sales activities within exhibitor's booth space. Representatives should be attired to reflect your organization's image and to maintain the professional climate of the NAIFA Convention & Career Conference. The exterior of any display cabinet or structure facing a side aisle, or adjacent exhibitor's booth, must be finished or suitably decorated at the expense of the exhibitor erecting or installing such a display. If the exhibit hall is not carpeted, exhibitors are required to provide carpeting for their space. Displays are to be manned at all times during exhibition hours. Displays not manned during said hours will be subject to removal or disposition by NAIFA staff. All applicable service charges will be billed to and paid by the exhibitor of record. 9. SUBLETTING OR SHARING OF EXHIBIT SPACE PROHIBITED: Exhibitors are prohibited from sharing, assigning or subletting a booth or any part of the space allotted to them except upon written permission from NAIFA shall not exhibit or permit to be exhibited in their spaces any merchandise not a part of their regular product, nor shall they exhibit any advertising material not directly pertaining to such products. 10. OFFICIAL GENERAL CONTRACTOR: Exhibitors will make all necessary arrangements with the official general contractor for assembly, setting up and dismantling of the display. The official general contractor for this convention is Brede Exposition Services. 11. EXHIBITOR'S SERVICE MANUAL: The general contractor will provide to each exhibitor an information and service kit that includes: complete shipping instructions, union regulations and order forms for all services needed for set up, dismantling and exhibiting. 12. INSTALLATION OF DISPLAYS (TENTATIVE) The exhibit hall will be made available for display set up from 9:00 am-6:00 pm, Saturday, September 6 and 7:30 am-9:30 am, Sunday, September 7. All displays must be fully set up and ready for review by 9:30 am on Sunday, September 7. After the 9:30 am review of exhibits by NAIFA staff, any unattended booth with crated material will be turned into a lounge at the discretion of NAIFA's staff, and all applicable service charges will be applied to the exhibitor of record. The exhibitor forgoes his/her right to exhibit at the 2008 NAIFA Career Conference and will not be entitled to any sort of refund. Exhibitors should make arrangements with Brede Exposition Services for set up and dismantling booths. If such services are provided on an overtime basis, exhibitors shall assume these extra costs. Exhibitors hereby agree that exhibits shall not be dismantled prior to 3:00 pm, Monday, September 8, 2008. Exhibitors in violation of this rule will revoke their right to exhibit at any future NAIFA conventions. 13. EXHIBITION HOURS (Tentative):
Sunday, 9/7, 11:00 am - 3:00 pm 14. REGISTRATION OF BOOTH PERSONNEL: Housing/Registration Forms will be mailed to the exhibitor with their confirmation letter and booth assignments. Each exhibiting company will be permitted two free convention registrations for booth personnel. The registration fee for additional booth personnel will be $250 each. All persons working at the booth must be registered for the convention. 15. CARE OF BUILDING: Nothing can be posted on, tacked, nailed or screwed, or otherwise attached to the columns, walls, floors, furniture or other properties of the Manchester Grand Hyatt. Cost for repairing any damages to the Manchester Grand Hyatt will be billed to the exhibitor responsible. No nails, or bracing wires used in erecting displays may be attached to the building. All property destroyed or damaged by exhibitors must be replaced in its original condition by the exhibitor or at the exhibitor's expense. 16. SERVICE PERSONNEL: Companies employed by exhibitors other than NAIFA's official contractor must check with NAIFA Operations upon arrival. 17. FIRE REGULATIONS: Fire regulations require that all display materials be flame-proofed. Electrical signs and equipment must be wired to conform to the appropriate local and state codes. All materials used in the exhibit hall or any other room of the convention center must be flame proof to conform to the Fire Regulations of the Manchester Grand Hyatt. Material not conforming to such regulations will be removed immediately at the exhibitor's expense. Engines, motors or any kind of equipment may be operated only with the consent of the Manchester Grand Hyatt. 18. REMOVAL OF EQUIPMENT OR MERCHANDISE DURING THE CONVENTION: To insure a professional climate and appearance of the entire exhibit and display floor, exhibitors will not be permitted to remove any of their displays or equipment until 3:00 pm, Monday, September 8. 19. DISMANTLING AND REMOVAL OF DISPLAYS AFTER THE CONVENTION (Tentative): Exhibitors shall pack and remove all booths, displays, and merchandise following the official close of the Exposition on Monday, September 8. Deadline for removal of display material is 7:00 pm, Monday, September 8. All exhibitor displays or materials not removed by the deadline will be disposed of by NAIFA staff, and all applicable service charges will be billed and paid by the exhibitor of record. Watchmen will not be available after 7:00 pm, Monday, September 8. 20. NO SMOKING POLICY: Smoking is prohibited in the exhibit hall of the Manchester Grand Hyatt. 21. RESERVATION OF RIGHT TO MAKE CHANGES: NAIFA reserves the right to make such changes, amendments, and additions to these rules and floor plans as NAIFA considers advisable for the proper conduct of the exhibit, with the provision that all exhibitors will be advised of any such changes. |
